This website is operated by HuaXian Academic Network(HXAN). Throughout the site, the terms "we", "us" and "our" refer to HXAN and its event and website service (consisting of IFEDC, IPPTC, OGKAS and Petroleum.cn). HXAN offers this website, including all information, tools and services available from this site to you, the user, conditioned upon your acceptance of all terms, conditions, policies and notices stated here, which help set their expectations, protect HXAN business from legal liabilities, maintain rights over HXAN intellectual property, minimizes disputes, and establish trust and transparency with HXAN users.
By visiting our site and/ or purchasing something from us, you engage in our "Service" and agree to the following terms and conditions ("Terms of Service", "Terms"), which are a legal and binding agreement between you and HXAN governing your use of our web sites when you register for any event or conference organized by HXAN or obtain our website service. These Terms of Service apply to all users of the site, including without limitation users who are browsers, vendors, customers, merchants, members, and/ or contributors of content, participants, users and interested parties of HXAN events, OGKAS and Petroleum.cn.
By accessing materials on HXAN.org, you are agreeing to comply with these terms. You should please review the Terms fully before you continue to use the Service.
Your use and browsing of the Service is at your risk. If you are dissatisfied with any of the materials contained in the Service, with the quality of Service, or with these Terms, your sole and exclusive remedy is to discontinue accessing and using the Service.

Please do not provide, or allow others to provide, personal information about anyone unless you, on your own behalf and on behalf of anyone whose information you provide: (a) have reviewed and agree with the Privacy Policy, and (b) are authorized to, and do, consent to provide personal information for the Services.
Registration and Your Personal Data
In order to use certain functionality of the Service, you may be required to complete a registration process and create an account. As a registered user of the Service, you agree to (a) provide true, accurate, current, and complete information about yourself as prompted by the Service registration form (“Registration Data”), and (b) maintain and promptly update the Registration Data to keep it true, accurate, current, and complete. You agree to (a) immediately notify HXAN of any unauthorized use of your password or user name or any other breach of security; (b) defend, indemnify, and hold harmless HXAN from any loss or damage arising from your failure to keep your account information secure and confidential, including, without limitation, the unauthorized use of your password or username.
You acknowledge that the venue, timings, speakers and programme of any HXAN conference are subject to reasonable changes.
By registering for virtual and in-person conferences, informative webinars, network living broadcast. conference-related social events at off-site locations, and in related online communities and social media., you consent to the collection, the technical processing and transmission of your data, including, without limitation, registration data, by HXAN or through a third party service and processing of such data by HXAN in connection with your use of the Service. In addition, by registering for our events, you also agree that HXAN may disclose your personal contact information to affiliates and selected sponsors and trusted partners.
Prior to your registration, you must acknowledge and accept the Terms of Service contained herein. Should you not wish to accept the Terms of Service you should not register.
Submitting the registration will confirm your acceptance of the Event Terms of Service. If you do not wish for us to share your information, please email head(a)hxan.org.
How we will use your information
To values your participation in this conference, we will protect and restrict collected information to the fullest extent possible.
We collects private contact information (address, phone number, email address, etc.) and other information as needed for processing, registration, payment,contacting the attendee or vendor, and additional information related to the event. A valid email address is required for all registrations.
To protect your submission of credit card information while registering for the conference and/or making a payment, the online registration system used by HXAN is on a secure encrypted website. We does not store and cannot view your credit card information. Limited financial information is stored only with the online registration system and is used only in the event a refund is needed.
We may disclose your personal data to third party service providers engaged by HXAN to assist in the conduct of the event (e.g. hotel, mobile application provider, exhibition service provider). The information you provide when registering or participating in activities managed or co sponsored by parties other than HXAN may be shared with these parties, and the processing of this information is further governed by their privacy policies. Except as described herein, we will not disclose your personal data to any other third party without your consent except where required to do so by law.
We will process your personal data in order to provide you with the information that you have requested, and to share information about our events and products, deemed relevant to you. HXAN is committed to protecting the privacy and confidentiality of personal information entrusted to us. If you decide that you no longer wish to receive information about our events and products, you can contact us any time at head(a)hxan.org.
Credential/badge scanning during the event
HXAN event co-sponsors, exhibitors, and other third parties may directly request your personal information at their exhibit booths or presentations. Providing your information to them is optional, and you should review their privacy policies to address your particular needs and concerns about how they will treat your personal information.
If during the event you attend a session or program hosted by an exhibitor other than HXAN, you understand and agree that when you present your badge for scanning or when you provide personal data, that information will go to a non- HXAN entity and HXAN takes no responsibility for how that company uses your personal information.

Service as an invited speaker
If you agree to speak at an HXAN conducted event, we may share your contact and biographical information with event attendees. Sometimes we may also request a photograph.
We may sometime post on the respective event website information such as your name, employer, physical work address, work line phone, work email address, as well as a link to your company website available to the public. Thus, visitors to the event website, including event participants and speakers, can ask you questions and requests to obtain more information and provide feedback when needed. Additionally, speakers may be asked to complete a release agreement or copyright form prior to their presentation.
Eligibility
HXAN reserves the right to prohibit participation in any virtual or in-person meetings, conferences, or webinars for reasons such as health and safety, space capacity, past or present behavior, or other reasons deemed necessary for the successful implementation of our business objectives.
Intellectual Property by Accessing Materials on Our Sites
The Service is owned by HXAN. All of the content featured or displayed on the Service, including, but not limited to, still images, text, pictorial works, video images, photos, graphic designs, audio recordings, multimedia combinations, and computer programs, including web-based programs is owned or licensed by HXAN.
You do not acquire any ownership rights by downloading any material on hxan.org (including event websites), ogkas.com and petroleum.cn for which HXAN owns the copyright or has permission to use.
You may not copy, reproduce, publish, modify, post, transmit, or distribute any material from these sites, including any programming code and software, in any manner, without the written permission of HXAN.
If you note information on any HXAN website (consisting of IFEDC, IPPTC, OGKAS and Petroleum.cn etc.) that may constitute copyright infringement, you can notify HXAN to investigate it.
Limitation of Liability
The Service is provided for informational purposes only. The Service should not be used in any high risk activities where damage or injury to persons, property, environment, finances or business may result if an error occurs. You definitely bear all risk for such use.
As a condition of use of HXAN.org and its affiliate sites(OGKAS and Petroleum.cn), you agree that neither HXAN, nor its affiliates shall be liable for any direct, indirect, incidental, or consequential damages caused by the use or posting of any material on the HXAN site by HXAN or any HXAN user.
The Materials may be out of date at any given time, and while We may from time to time update the Materials We are under no obligation to do so.
No liability is assumed by HXAN for changes in program date, content, speakers or venue. HXAN reserves the right to cancel any HXAN event(IFEDC,IPPTC or NEEC or training) it deems necessary and will, in such event, make a full refund of any registration fee, but will not be responsible for airfare, hotel or other costs incurred by registrants.
HXAN does not warrant that the function performed on this website will be uninterrupted or error free, that flaws will be corrected, or that these sites, including HXAN events, OGKAS and Petroleum.cn, are free of viruses or other harmful components. HXAN. will not be liable for any loss or damage caused by a distributed denial-of-service attack, viruses, or other technologically harmful material that may infect your computer equipment, computer programs, data, or other proprietary material due to your use of the site or due to your downloading of any material posted on it, or any website linked to it.
In consideration of being allowed to register for, and participate in the event, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue HXAN or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, including but not limited to COVID-19, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of HXAN. This liability waiver and release is specifically binding upon your heirs and assigns and is knowingly given.
Our Warranties and Disclaimers
We provide our services using a commercially reasonable level of skill and care and we hope that you will enjoy using them. But there are certain things that we don't promise about our Services.
1.In-person and Virtual Events Disclaimer
Before anyone joins any event at HXAN, they must consent to being recorded by HXAN event staff.
Participation at and registration (attendee, guest and exhibitor) for the conference gives consent to the use and distribution of the participants’ image or voice in any pictures, video or audio recordings, or electronic reproductions taken during HXAN events for conference coverage and future promotional purposes. HXAN team is able to use your likeness without remuneration.

What the recording includes e.g. video, audio, text, and other personal information
Why personal data might be captured even if attendees don't actively participate.
2.Copyright Infringement Disclaimer
For papers powerpoint files, videos, pictures, and other intellectual property documents uploaded from user(customer) at HXAN event, the copyright infringement responsibility shall be borne by the user or authors(customer).
3. Disclaimer of Accuracy, Completeness and Timeliness of Information
We shall have no liability or responsibility for any information published on our event websites if information made available on our event sites is not accurate, complete or current. The material on our event sites is provided for general information only and should not be relied upon or used as the sole basis for making decisions without consulting primary, more accurate, more complete or more timely sources of information. Any reliance on the material on our event site is at your own risk.
Our event sites may contain certain historical information. Historical information, necessarily, is not current and is provided for your reference only. We reserve the right to modify the contents of this site at any time, but we have no obligation to update any information on our site. You agree that it is your responsibility to monitor changes to our site.

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of HXAN. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.
Indemnification
You agree to indemnify, defend, and hold harmless HXAN; its affiliates, and partners; and their respective officers, employees, clients, members, representatives, and third party providers of the service from and against all losses, expenses, damages, and costs from any violation of these Terms.
Health and Safety
The health and safety of our attendees is our number one priority. We closely monitor all local and international alerts regarding public health and proceed according to the local and national health guidelines respective to the location of our events.
Attendance at our events remains an individual decision with any considerations to be assessed by the attendee and/or their organization. By agreeing to be a registered attendee of our conferences, you freely waive, release from liability, assume all risks, and covenant not to sue HXAN, its members, employees, board members, or volunteers for any expense, loss, damage, personal illness/injury, including loss of life, disability, or actions of any kind that they may hereafter suffer or sustain before, during, or after the event.
Our conferences will be implemented in accordance with guidelines issued by the relevant health, safety and regulatory authorities where the conference is held. Decisions regarding the foregoing are made on the basis of our concern for the health and safety of our customers and employees.
By attending our conferences, you agree to the In-Person Conference Participation Requirements and Infectious Disease Warning as outlined on some official health organization website which may include a vaccine and/or mask requirement. Usage of photographic and video material taken at HXAN events
To comply with global data privacy laws, HXAN imposes certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums). An attendee is permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever .
HXAN may hire professional service providers (photo/video/streaming/audio) to document and display the event experience. Attendees, exhibitors and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, exhibitor, sponsor, third party, or HXAN. Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights.

Expected Behavior
HXAN expects that all attendees will:
-Be considerate and respectful to all attendees. and respect the rights of others.
-Refrain from demeaning, discriminatory, or harassing behavior, materials, and speech.
-Speak up if they observe anything at an event that conflicts with this Code of Conduct. If you are being harassed or feel uncomfortable, notice that someone else is being harassed, or have any other concerns, please contact a member of HXAN event staff immediately.
Unacceptable Behavior
Unacceptable behavior from any participants will not be tolerated. Unacceptable behavior includes, but is not limited to:
- Personal insults, particularly those related to gender, national origin, appearance, political affiliation, marital status, sexual orientation, physical appearance, body size, race, age, religion, disability, or any other characteristic protected by law..
- Violence, threats of violence, or violent language directed against another person.
- Any obscene, or offensive behavior or language, including but not limited to the use of explicit or offensive language, materials, or behavior, or any language, behavior, or content that contains vulgar language, obscene gestures, or racial, religious, or ethnic defamation. Many event venues are shared with members of the public; please be respectful to all patrons of these locations.
- Inappropriate photography or recording.
- Taking of photos within the event environment for use on social media or elsewhere, without the prior permission of the individuals or owners of the content therein.
- Failure to obey any rules or regulations of the event venue.
Report Unacceptable Behavior
Participants are subjected to unacceptable behavior and should report any behavior inconsistent with these principles to onsite event staff. We value your attendance. You may also contact HXAN directly to report a concern at head(a)hxan.org.
Change and Termination
HXAN reserves the right to change, amend, add or remove any of the above Terms in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms should become invalid, the remaining conditions will continue to be valid and apply. These Terms apply to all event participants (attendees, speakers, sponsors, exhibitors).
HXAN reserves the right to terminate your right to access HXAN.org for violation of any of these terms of service by you at any time without notice.
