Code of Conduct
(一) Code of Conduct of The Members of HXAN
General
Huaxian Academic Network (HXAN)(consisting of any interest-concerned groups, affiliated organizations or committee) is committed to achieving the highest standards of competence, honesty, integrity, morality, and fairness in all aspects of its operations; HXAN focuses on the positive aspects of adopting a code and emphasizes the benefits to HXAN members and customer communities, as well as mutual respect for the public, customers, employers, employees, colleagues, peers, speakers, authors, and volunteers.
Therefore, each HXAN member promises to meet HXAN's high standards in the following areas.
Integrity and Professionalism
- To act honestly, truthfully and with integrity in all dealings, both within HXAN and on its behalf or in its name; to examine the accuracy and source of all relevant information before allowing it to be used in HXAN services, products and advice.
- In all dealings, and especially towards HXAN members, to behave in a professional manner, as part of the collective desire to strengthen the competencies of HXAN and the conservation community.
- To comply with all applicable laws and regulations in all dealings relevant to HXAN and its activities and objectives.
Ethical Leadership and Transparency
When fulfilling a leadership role within HXAN
- To do so ethically, operating transparently and fairly, giving appropriate notice of key leadership decisions to affected members, and avoiding personal or institutional bias or favour.
- To act as a fiduciary with regard to any property or information held on behalf of HXAN.
Accountability, Responsiveness and Reliability
- To abide by all relevant governing documents of HXAN.
- To contribute to the work and deliberations within sharing knowledge, time and expertise.
- To recognize all members of the HXAN as colleagues deserving of respectful treatment both in communications within HXAN and also in communications about them outside of HXAN.
Dignity and Cultural Sensitivity
- Respect the cultural diversity of our global network and demonstrate respect for all ethnic groups, cultures, and traditions on behalf of HXAN in all communication and other related interactions.
- To avoid and refuse to tolerate discriminatory practices that are detrimental to groups or individuals based on culture, national or ethnic origin, gender, marital or other family status, sexual orientation, socio-economic status, age, disability, political alliances, or religious beliefs.
Environmental Responsibility and Safety
- When acting and/or engaging in advocacy affecting conservation or sustainable development, to do so in a manner that reflects HXAN’s shared commitment to sustainability, responsibility and environmental best practice, leading by example and, to the extent possible, working with partners who conform to these standards.
- To avoid, where reasonable and possible, any activity that harms or endangers others, where such danger, harm or injury might be perceived to involve HXAN and to notify appropriate persons where such activity is unavoidable.
Confidentiality
- To respect the confidentiality of sensitive information about HXAN, customers and partners.
Conflicts of Interest
- To refuse to accept any payment or special consideration from any person or organization whose purpose in providing such a payment is to unduly influence the decisions, policies or actions of the HXAN or to interfere in the established decision-making process to accomplish that person/organization's objectives.
- To refuse to accept any potential conflict of interest, before engaging in any action or decision-making involving that conflict.
- Where for any reason, any HXAN member finds that he/she cannot comply with this Code of Conduct, to notify the head of HXAN and from that point onward to refrain from claiming to be an HXAN member.
Response to Violations of this Code of Conduct
- Upon becoming aware of any violation of this Code of Conduct, require personnel involved in the violation to cease such behavior.
- To report any continuing violations to the head of HXAN.
(二)HXAN Events Code of Conduct
Objective and Basic Requirements
HXAN events are conducted for the benefit of its attendees, speakers, members and interested parties (authors, editors, reviewers, and HXAN staff etc.) to promote the progress of the science and technology in the fields of energy and environment, to create and boost networking and collaboration between professionals within the world’s energy and environmental sciences community.
HXAN is devoted to providing a harassment-free conference experience for everyone, regardless of age, color, disability, body size, national origin, race, religion, gender, sexual orientation, appearance, political affiliation, marital status, veteran status, or any other characteristic protected by law .We do not tolerate harassment of conference participants in any form.
HXAN values the participation of its members and customers in HXAN events and hopes that all event participants can have a pleasant and fulfilling experience. Correspondingly, all attendees are required to show respect and courtesy to other attendees throughout the HXAN meeting and all conference activities.
Therefore, all attendees and guests, speakers, moderators,editors,reviewers, exhibitors, organizers and volunteers at any HXAN event are required to conform to the HXAN’s Conference Code of Conduct. HXAN’s conference team will enforce this code throughout the event. Any violations of this policy will not be tolerated and may result in the offender being asked to leave the conference or being banned from attending future HXAN Conferences events.
General Guidelines for Participation
All communication, whether casual or formal, whether written or verbal, including electronic, should be appropriate for a professional audience including people of many different backgrounds. Everyone must be in a respectful and polite manner and careful in the words that he or she chooses, be kind to others, do not insult or put down other attendees, behave professionally.
Illegal materials are strictly prohibited at HXAN event. Posting contact details of another person is strictly prohibited at HXAN c event. The content of posting, sharing, display, transmission, ,emailing, embedding, that invades the intellectual property rights of another person or party is strictly prohibited at HXAN c event. Posting presentation material, posting or sharing any confidential data, intellectual property or other material owned or protected by copyright without the permission of the owner is strictly prohibited at HXAN event. Do not post anything that you would not want anyone to know came from you. Postings and messages will be deleted at HXAN's sole discretion if they are considered to violate HXAN’s Code of Conduct.
Any screenshots, video recording, photography, or other capturing of presentations, e-posters, live sessions or other events, without expressed, written consent of the owner is prohibited. When shooting photography or video in their own booth, no other Exhibitor’s booth may appear in the shot. Exhibitors are not allowed to take photos anywhere else in the HXAN exhibition hall or throughout the entire conference period. When shooting photography or videos at one's own booth, the booths of other exhibitors are not allowed to appear during filming. If needed, the staff of the HXAN event team can provide overall footage of the exhibition or other aspects of the event. Please contact HXAN at head(a)hxan.org.
Sexual language and imagery, offensive communication, inappropriate physical contact, and unwelcome sexual attention are not appropriate for any conference venue, including talks, harassing photography or recording, sustained disruption of talks. Personnel and/or models in an exhibitor’s booth are required to wear appropriate attire and to conduct themselves in a manner consistent with the professional and business purposes of the show.
Other rules of conduct for conference activities include, but is not limited to:
- Ensure that your post is relevant to the community and discussion topic.
- You (author(s) or speaker(s)) warrant and represent that you own presentation material or the copyright to the material or has received permission from the owner.
- You grant HXAN the nonexclusive right and license to publish, print, copy, distribute, display, transmit, and use such material or other information.
- We encourage you to share your experiences with products and services that might compensate others if others can benefit. Be sure to specify your affiliation (or lack of affiliation) to the product or service.
- Do not post directly commercial messages that do not contribute to the technical conversation.
- Employment notices or requests for employment are strictly prohibited.
- Protect your employer's or company's or organization's interests
- Do not post confidential information that is not approved for the public.
- Include the following statement in your signature: "This post reflects a purely personal opinion & not that of the organization with which I am affiliated."
- Posting logos or banners is an infringement of the owner's copyright and are prohibited. However, you can post a URL or hyperlink.
- Only HXAN and other non-profits events and activities may be posted. Events from commercial companies are prohibited.
Termination and Punishment
HXAN reserves the right to reject any post or message for any reason and to terminate access to any user who does not abide by this Code of Conduct. If a participant does not engages in behavior that violates this Code of Conduct, such as deliberate disruption of talks, sessions, or other events, HXAN staff team reserves the right to take any appropriate action, including warning or expelling the offender from the event with no refund.
Reporting
If someone makes you or anyone else feel unsafe or unwelcome, please report the incident to HXAN Staff member as soon as possible. You can make a report either personally or anonymously via the online email.
